You Baby Studio Hiring for Administrative Assistant at Dubai Full Time

Being part of support for all departments to progress and provide an outstanding service for YB studio.

Administrative Tasks:  

• Prepare employee contracts, offer letters, and other related documents as per instructions
• Collect necessary documents from new and existing employees and submit it to insurance and PRO representatives
• Coordinate with PRO and insurance companies to follow up on the status of visas and insurance addition/cancellation
• Assist in setting up and maintaining filing systems
• Maintain office supplies and equipment, and ensure a tidy work environment
• Support with Payslip preparation 
• Collect necessary documents from new and existing employees and submit it to insurance and PRO representatives
• Follow up on CRM platform, and expiry documents (team and company)
• Assist in setting up and maintaining filing systems

Operations & Inventory:

• Maintain office supplies and equipment, and ensure a tidy work environment
• Provide general support to team members and executives as required
• Track assets and conduct inventory
• Assisting post-production tasks (scanning SD cards, preparing albums for delivery)
• Accept deliveries and insert in the inventory file
• Keep tracking all of the inventory and updating the demanded product in the “Client Request” File (to be done by the first week of the new month)
• Answering Editing phone to support clients’ requests and coordinate with the post-production team accordingly 
• Monitoring and being responsible for assets of the company (updated in the Bayzat platform and labeled for each team member)
• Track and send cars for services
• Corporate with all the departments on task support 
• Being responsible for any reports & requests in Notion
