Job Responsibilities (List Deliverables and Main Tasks)
To take care of all administrative tasks related to the unit including leave reconciliation, courier cataloguing, staff transportation, business travel for Managers, HR and IT coordination.
Prepare meeting agenda, schedule department meetings promptly and distribute minutes.
Content Management for unit displays, notices, memos, etc.
Central point of contact for CSR activities.
Monitor monthly inventory of office supplies, stationary and pantry items for the specified Unit and manage the central procurement store.
Manage the P2P functions for pantry + stationary supplies for the specified Unit and the general supplies requests.
Manage the floor meeting room bookings and ensure all meeting room equipment is in working condition.
Setting up conference calls across the International platform and manage the regular and periodic reviews related conference call schedule and set up calls / meetings efficiently on time.
Record keeping of critical documents, processes and escalations
To ensure the Unit is fully compliant with the document storage and record management policy of the bank.
Coordinate with security personnel regarding security policies, security schedules and security issues together with the manager.
Arrange and coordinate internal / external meetings for the Unit Heads, prepare the MO’s and share across concerned functions.
Manage empower changes such as transfers, team alignment and updating leaves.
Assist Line HR on other floor activities such as R&R’s Fun Thursday, floor decoration etc.
Assist / provide support in Procurement activities, i.e. transportation, premises, internal events, release /manage the audio visual equipment.
