We are looking for a dynamic Human Resources executive to lead, direct and manage the day-to-day HR activities for our office. You will act as the first point of contact for HR-related queries from employees and external partners. You will also have to handle employee-related services, regulatory compliance, and employee relations, among many other tasks.
You will be expected to Job Summary: The office admin & HR executive is responsible for all HR operations throughout the employee life cycle in the company, ensuring our HR procedures always run smoothly. This includes staffing, setting policies, training, preparing payroll, leave and benefit packages, updating, and implementing company policies, conducting regular employee feedback and performance reviews, and maintaining updated employee records.
Supervisory Responsibilities: · Trains new staff in the department and supervising the training employees of other departments. · Oversees the daily workflow of the department and monitors departments’ implementation of their agenda. · Implementation of performance evaluations for employees and departments periodically. · Handles discipline and termination of employees in accordance with company policy. · Oversee the monthly data analysis for People Leadership Reviews and subsequent follow up of actions post meetings · Analyze data and trends on performance management, in order to provide input to the business, preventing the recurrence of known issues · Maintain the fair and consistent treatment of employees by conducting investigations and disciplinary where complaints or misconduct arise
Duties/Responsibilities: Hiring and interviews · Collaborates with departmental managers to understand skills, tasks, qualifications, expected target and competencies required for openings. · Develop policies and recruiting procedure to ensure availability of all functional specialty according to available budget and organization’s strategy. · Design business plan for each job (how many employees to cover each job, budget required, salary plan, type of contract, etc.) and establish short- and long-term operating procedure. · Study job analysis for each job with its requirement, ability for each candidate to do his tasks and put job specifications needed to take the job. · Design & development of job description strategies for all positions in alignment with the business priorities and reviewing them at regular intervals, updating them in consultation with the respective manager to ensure employee high performance. · Publishing and updating job advertisements on online platforms and careers pages. · Screening job applications and resumes Scheduling interviews with candidates. · Drafting offer letters/contracts. · Explain detailed job description, human resources policies, procedures, laws, and standards to new and existing employees Evaluation · Drive the weekly and monthly performance assessment process to ensure employees are evaluated in a fair and consistent manner. · Ensure performance ratings & recommendations are aligned with the overall organizational guidelines. · Design and implement effective reward schemes to drive productivity & retention. · Implement best in class policies and practices to drive employee motivation and engagement. · Facilitate deployment of employee engagement surveys, develop action plans based on the findings and follow through implementation. · Ensure employee grievances and disciplinary issues are managed in a fair, effective and timely manner. · Deliver appropriate analytical reports to facilitate better decision making. · Ensuring the implementation and adherence of various policies, job description, procedures, and systems across the organization. · Providing healthy work environment to ensure employee high performance. · Success in creating and driving effective development, employee relations · the ability to identify problems and drive appropriate solutions · Evaluation of probationary period for new employees and audit · Professional development of employees in line with the company’s strategy; Taking into consideration the provision of opportunities for qualified workers in the horizontal and vertical upgrading.
Training · Conducting training needs analysis studies and meeting with managers and heads of other departments to determine training needs. · Develop training plans for employees and follow up their implementation to develop practical and administrative skills for all employees, in accordance with the budget proposed by the senior management, taking in consideration increase in investment return after these training plans.
supervision · Oversees employee disciplinary meetings, terminations, and investigations. · Supervising employee vacations and working hours. · Supervising employee achievements based on the set plan
Functional · Evaluating employees, harmonizing the audit with the salaries available in the market, and taking measures that provide the budget and achieve the presence of the best competencies with the lowest salaries · Maintains compliance with local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance. · Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law · Create, maintain, and review standard reports and administrative efficiencies. · Enter data and ensure data integrity within HR information systems and other required databases · Manage and maintain personnel files and keep all HR documentation up to date. · Maintain accurate and up to date payroll and employee data spreadsheets · Preparing administrative letters such as No Objection Certificates, Salary Certificates, Bank Letters, Employee Certificates, etc. · provide strategic support to Concept CEO · Strategic workforce planning: ensure the company’s workforce has the right size, shape, cost and agility for the future objectives · Issuing recommendations organization chart to assign new hire to build a strong foundation for new employees. · Ability to create an organization chart. · Determining the organizational structure of the company and the administrative work that the company needs and the employees entrusted with their implementation · Preparing the time plan for the projects and supervising their promotion based on the set plan · Managing budgets and supervising their disbursement · Provide employees with information about policies, job duties, working conditions, salaries, opportunities for upgrading and employee benefits. · Preparing reports on employees and the work to be done · Preparing schedules for the monthly working hours for employees
Exit Process for Leavers · Communicate exit process to leaving employee and schedule exit process meeting · Request clearance from different departments for terminated employees · Prepare final settlement to be signed by HR and explain to leaving employee · Liaise with PRO for visa cancellation or transfer · Request release of final payment once clearance is completed
Payroll · Prepare employee file checklist of new joiners with confirmed joining date · Prepare final payment for leavers · Capture commission payments, deductions, relocation reimbursements, loan, bank details, time in lieu, overtime, etc. · Preparing schedules for the monthly salary, wages and all financial entitlements for the company’s employees · Managing the salary structuring program to ensure compliance and fairness within the company. · Suggest corrective measures for the structure of salaries and bonuses to create a fair competitive spirit among employees to improve overall performance and workflow in an effective manner · Paying salaries, supervising deductions, incentives, and staff completion percentage · Consolidate all documents of payroll capture and submit to Payroll & HRIS Specialist on time · Preparing expense statements
