Position: Hotel Reservation Supervisor
Royal Vacation Homes Rental (RVHR): a leading holiday homes rental company with 80 plus units in Dubai. We cater to our guests with much more than just the standard holiday homes services with 24 hours reception, reservations, guest relations, housekeeping & maintenance services.
Overall Responsibilities: this position is primarily responsible for the smooth running of the day-to-day operation of the reservation department, in line with the set procedures and policies and as instructed and directed by your direct superior. In doing so the employee shall coordinate the day-to-day objectives with the direct superior and implement such instructions received. This position as well is responsible for the implementation of relevant administrative and record keeping duties to ensure that all aspects of the reservation department responsibilities are carried out in accordance with the set policies and procedures. Whenever there is a shortage of reception staff, the Reservations Supervisor shall be scheduled to cover such “open” morning or afternoon shifts as may be determined from time to time by the Front Office Manager by way of the weekly duty roster.
Working hours: Will be in accordance with the weekly duty roster based on operational requirements as set by the Front Office Manager. This shall include mostly morning shifts (from 8.30 AM till 5.30 PM) and occasionally afternoon shifts (from 4.30 PM till 00.30 AM).
Weekly day off: entitled to one weekly day off in accordance with the weekly duty roster based on operational requirements as set by the Front Office Manager. Such weekly day off shall vary from one week to the other.
Reporting Line: this position reports directly to the Front Office Manager.
Job Responsibilities:
· Ensuring at all times that the company set policies and procedures are observed and implemented accurately without fail while performing the set job responsibilities;
· Handling and accurately processing all the incoming reservations/amendments/ cancellations/inquiries received from the different sources and responding to such incoming correspondence within no more than 24 hours from the time of receiving such correspondence;
· Handling Timeshare Owners incoming reservations/amendments/ cancellations/ inquiries and maintenance fees collection;
· Ensure that all guests data are correct and update in the operating system;
· Handling guests complains & inquiries;
· Ensure that all the reservations/amendments/ cancellations received are immediately entered on Protel system and confirmation has been sent to the guest;
· Maintain accurate filling systems and ensuring that all reservations correspondence for the expected arrivals and those of the previous day are filled in their place;
· For the following day arrivals shall check that the information in Protel is accurately entered in accordance with the reservation correspondence (including guest information, rates, market code, source and payment instructions) and shall bring to the attention of the Front Office Manager any special requests;
· For Time Share Owners Reservations shall ensure that such reservations are processed after ensuring that the due Annual Maintenance Fees have been collected;
· Follow up the expected arrivals on weekly basis and make sure to have the arrival time;
· Prepare the daily, weekly and monthly reports;
· Actively promote and up-sell the rooms in accordance with the selling strategy communicated and implemented at the time;
· Actively participate in the collection of Annual Maintenance Fees and follow up with Time Share Owners;
· Maintain at all times clear communication lines with all the team members at different levels;
· Observe periods of potential future over-booking situations and report such situations to the attention of the Front Office Supervisor and Front Office Manager;
· Conduct courtesy calls to in-house guests and communicate any issues to the attention of the Front Office Supervisor and Front Office Manager;
· Update the daily availability chart and the online reservation systems;
· Perform the duties of the front desk reception whenever required in accordance with the weekly duty roster.
Job Requirements:
· 2 years pf previous experience as reservations supervisor in a 4/5 stars hotel/hotel apartments;
· Excellent English language (written/ spoken/understanding);
· Arabic language is an added asset;
· Pleasant, outgoing and professional attitude.

Salary: AED4,000.00 – AED5,000.00 per month
