About the Role

We are seeking a highly organized and proactive Executive Assistant to support our Directors in managing their day-to-day operations, schedules, and communications. This role requires exceptional attention to detail, strong follow-through, and the ability to anticipate needs before they arise. The Executive Assistant will play a key role in ensuring the company’s strategic and operational goals are executed efficiently.

Key Responsibilities

• Manage complex calendars, appointments, meetings, and travel arrangements for multiple directors.
• Prepare meeting agendas, take detailed minutes, and circulate follow-up trackers promptly.
• Track and monitor action items to ensure deadlines are met across departments.
• Screen and prioritize emails, calls, and correspondence, maintaining absolute confidentiality.
• Prepare presentations, reports, and internal communication materials.
• Process and reconcile monthly expense reports in coordination with the finance department.
• Coordinate local and international travel logistics, including visa arrangements and itineraries.
• Maintain digital and physical filing systems for quick retrieval and confidentiality.
• Liaise between directors and internal teams, ensuring smooth information flow.
• Support special projects, board meetings, and strategic initiatives as required.

Qualifications & Experience

• Bachelor’s degree in Business Administration, Communications, or a related field.
• Minimum 3+ years of experience as an Executive Assistant or in a senior administrative support role, preferably supporting C-level executives or directors.
• Strong proficiency in Microsoft Office Suite, Google Workspace, and communication platforms (Zoom, Teams, etc.).
• Excellent written and verbal communication skills in English.
• Proven track record of managing multiple priorities under pressure with accuracy and discretion.
• High degree of professionalism, confidentiality, and service orientation.
