Role Purpose

The PMO Senior Specialist is responsible for overseeing project management activities, handling procurement requests, and managing vendor relationships. This role ensures that projects are delivered on time, within scope, and budget while maintaining high-quality standards. The PMO Senior Specialist will work closely with project managers, procurement teams, and vendors to streamline processes and support the organization’s strategic objectives.

Project Planning and Execution:

• Develop and manage project plans, schedules, and budgets.
• Coordinate project activities and resources to ensure successful project completion.
• Monitor project progress and performance, identifying and mitigating risks.

Stakeholder Management:

• Communicate project status, updates, and issues to stakeholders.
• Facilitate project meetings and ensure effective communication among team members.
• Manage stakeholder expectations and ensure alignment with project objectives.

Documentation and Reporting:

• Maintain project documentation, including project charters, plans, schedules, and reports.
• Prepare regular project status reports and presentations for senior management.
• Ensure compliance with PMO standards and methodologies.

Procurement Management:

• Handle procurement requests for project materials, services, and equipment.
• Collaborate with procurement teams to develop and execute procurement strategies.
• Ensure procurement activities are aligned with project requirements and budgets.

Vendor Selection:

• Identify and evaluate potential vendors and suppliers.
• Participate in vendor selection processes, including RFPs, RFQs, and contract negotiations.
• Ensure vendors meet the organization’s quality, cost, and delivery requirements.
• Vendor Management:

Vendor Relationship Management:

• Establish and maintain strong relationships with vendors and suppliers.
• Monitor vendor performance and compliance with contract terms and conditions.
• Address and resolve any issues or disputes with vendors.

Contract Management:

• Manage vendor contracts, ensuring all terms and conditions are met.
• Coordinate contract renewals, amendments, and terminations as needed.
• Ensure proper documentation and record-keeping for all vendor contracts.
• Continuous Improvement:

Process Optimization:

• Identify opportunities for process improvements within project management and procurement activities.
• Implement best practices and continuous improvement initiatives.
• Collaborate with cross-functional teams to enhance efficiency and effectiveness.

Training and Development:

• Provide training and support to project managers and team members on PMO processes and tools.
• Stay updated on industry trends and advancements in project management and procurement.

Qualifications / Requirements

Knowledge and Experience

• Minimum of 5 years of experience in project management, procurement, or vendor management.
• Strong understanding of project management methodologies and tools.
• Experience with procurement processes and vendor management.
• Excellent communication, negotiation, and interpersonal skills.
• Strong analytical and problem-solving abilities.
• Proficiency in project management software (e.g., MS Project, Jira) and procurement systems.
• Ability to work independently and as part of a team in a fast-paced environment.

Education and Certifications
