Scope of Position

The Receiving Clerk is mainly responsible for receiving of all food & beverage items, general supplies and all other items delivered to the hotel. He needs to ensure that all deliveries have all the necessary documents with the relevant departmental authorisation and invoices posting in the system. He will also assist in storeroom related functions.

Responsibilities

• Check, verify and receive all items delivered to the hotel according to the purchase order instructions.
• Supervise the loading, unloading and dispatching of delivery trucks.
• Load and unload at the point of pick-up, delivery or distribution when necessary.
• Pack, unpack, count, weigh and measure materials, supplies and equipment upon receipt.
• Check materials received against invoices and notes breakage and discrepancies in quantity or quality.
• Follow at all times the receiving standards as per HACCP requirements.
• Inform the Purchasing Manager or Purchasing Supervisor on the undelivered orders during the day.
• Enter and process supplier invoices to the Purchasing system and pass to Accounts Payable.
• Keep storage facilities, loading docks, materials and supplies in a neat and orderly fashion.
• Assist and participate in the monthly inventory count of storeroom items.
• Assist in the preparation of requisitions for stock replacement.
• Assist to develop methods and procedures for proper handling, storing and rotating stock.
• Assist to prepare the lists of surplus, obsolete, non-moving, slow moving and nearly expiring inventories.
• Take necessary precautions to protect stock from deterioration or spoilage.
• Recommend modifications of stock levels on the basis of previous consumption and present orders.
• Make recommendations and suggestions on problems relating to space, delivery, issuance and stock control.
• Assist other staff members in all areas concerning purchasing, storing, distribution and shipping.
• To perform any other duties that may be assigned from time to time by management.
