Scope of Position

The Paymaster / General Cashier is responsible in maintaining the hotel’s payroll system to ensure timely payments of salaries and wages according to the Company’s policies & procedures. To assure absolute confidentiality in regard to all payroll related matters and to be ethical compliant. Also, prepare the hotel’s daily bank deposits, and issue, audit and maintain all house banks according to the Company’s policies and procedures.

Responsibilities: 

• Maintain confidentiality in regard to payroll related information.
• Responsible for accurate and timely processing and payment of monthly payroll.
• Keep track of overtime forms from every department and ensure that the forms are issued and authorized by respective Department Head and Senior Management.
• Follow up with HR in regard to attendance records and ensure the absences have been updated correctly into the HRIS (Time & Attendance module) before the monthly payroll cut-off date.
• Collect and verify basic payroll information from approved payroll documents such as personnel action form, employment contract, payroll allowances, leave application form and deduction forms.
• Coordinate with HR Department on matter concerning colleagues’ basic pay, end of service gratuity, vacation, allowances, all other benefits such as air tickets and all forms of deduction.
• Post and verify the monthly tips and various commissions (i.e. upsell and Spa), if applicable, to be included in the payroll processing.
• Ensure that all garnishments and payroll advances are deducted in a timely manner and reconciled accordingly.
• Ensure that vacation, end of service gratuity and air ticket entitlements and accruals are in accordance with the HR document and colleague’s employment contract.
• Produce a monthly basic pay reconciliation vs. previous month.
• Compute and ensure the accuracy of the payroll register and submit to Director of Finance, Director of Human Resources and General Manager for approval.
• Prepare the bank salary transfer and / or manual payroll cheques then submit to Director of Finance and General Manager and for approval.
• Prepare the final settlement of leaving colleagues correctly and release the payment on time.
• Prepare monthly journal entries and submit to Chief Accountant / Assistant Director of Finance latest by the first day of the month.
• Generate pay slips after payroll has been finalized and debited from the hotel’s bank account.
• Track and maintain the outstanding vacation and lieu days, then regular reconcile with HR records.
• Maintain the payroll system and make recommendation for improvements.
• Analyzing the payroll expenses monthly
• Perform reconciliation of assigned payroll related Balance Sheet accounts.
• Maintain an organized and secured filing of monthly payroll binder.
• Review the monthly billing of casual labor from the service providers prior to payment. Ensure the timesheets were properly approved and the contracted rates were applied correctly.
• Provide any other reports as requested by management.
• Have a thorough knowledge of the contents of all payroll related Policies & Procedures.
• Must have excellent cash handling skills evidenced by no overages and shortages.
• Must collect daily remittance envelopes from the cash drop safe in the presence of a witness.
• Count and verify daily cash receipts submitted by the individual cashiers including the collections by the Credit & Collection department.
• Complete the daily cash over and short report for each cashier.
• Consolidate, prepare and make the daily bank deposits in a timely manner.
• Ensure daily collections must be deposited to the hotel’s bank account on the next banking day.
• Reconcile daily cash submissions from various departments in the hotel against the bank deposits.
• Report daily all cash discrepancies to the Director of Finance or Assistant Director of Finance.
• Prepare daily General Cashier Report and submit to Income Auditor for review then to Director of Finance or Assistant Director of Finance for final approval.
• Resolve any deposit discrepancies directly with the bank while keeping the Chief Accountant and/or Assistant Director of Finance aware of the said discrepancies.
• Ensure that all cash-handling colleague have adequate monetary change throughout their work shifts.
• Provide monetary change colleagues with hotel floats after approval from Director of Finance
• Release due backs to hotel cashiers, as required and maintain a register for issue and receipt of due backs.
• Make petty cash disbursements according to established policies.
• Reconcile and prepare petty cash replenishment regularly and submit to Director of Finance or Assistant Director of Finance for approval prior to payment.

• Conduct at least once a month surprise float count for all cashier holding floats, including sub-float holders such as Duty Manager and Purchasing, in the presence of the float holder. Any discrepancies must be reported to the Director of Finance and/or Assistant Director of Finance immediately.
• Maintain updated Housebank and Petty Cash Contracts for all float holders.
• Prepare a monthly summary of float counts and must tie to the General Ledger house bank account.

• Must have a commitment to follow all local corporate policies and procedures as they relate to General Cashier.
• Must have thorough knowledge of all policies and procedures as they relate to General Cashier.

• Perform any other duties that may be assigned from time to time by management.
