An exciting opportunity to be a part of our facilities management business to manage a panel of services for a renowned building in Oman built with high standards.
The assistant manager is responsible for ensuring that the overall operation of the office runs efficiently.
The assistant manager is responsible for coordinating and implementing office procedures you will provide administrative support to senior managers and executives for a range of ongoing and ad-hoc activities across the facilities management contract and organisation.
Your responsibilities will include:
Supporting senior managers in all administrative duties.
Managing and tracking all mandatory staff training.
Ensuring all accreditations are maintained.
Managing all functions of the ERP system, including quality, CSR, risk, health, and safety.
Producing minutes of meetings and being the focal point for all follow up.
Scheduling appointments and updating calendar.
Monitoring vendor contract compliance.
Ensuring all timesheets and staff attendance records are accurate and up to date.
Ensuring company policies and procedures are implemented.
Developing staff training programs.
Developing and managing the property’s maintenance team and deputizing for the senior facility manager leads a multidisciplinary technical team responsible for supporting all technical aspects of operating, optimizing, troubleshooting, and maintaining all the client’s facilities assets.
Planning, developing, implementing, monitoring, and reviewing processes, procedures, and systems to enable the smooth operation of the engineering services and building monitoring, management, analysis, and control systems.
Utilising a building management system (BMS) to operate HVAC systems.
Preparing monthly and annual temperature, humidity, energy consumption, and water usage reports.
Liaising with NMO conservation team.
Acting as the operational interface between the clients and Mace and building mutually beneficial relationships.
Ensuring outstanding service delivery and exceeding all Mace targets.
Preparing monthly repair and maintenance reports for the building.
Contributing to carbon footprint reduction and utility management initiatives.
Performing various administrative tasks including dealing with clients and contractors technical & financial needs.
Supervising the maintenance team at the building.
About you
You have a relevant technical degree. You have experience in a facilities management leadership role. You have experience in workplace management. In-depth knowledge of health and safety management.
