Job Summary

We’re looking for a highly organized Virtual Assistant to provide administrative and campaign support for a U.S.-based demand generation team. The VA will play a key role in maintaining accuracy across client calendars, event registrations, and performance reports. This position is ideal for detail-oriented professionals who excel at following structured processes and supporting fast-paced marketing operations.

Key Responsibilities

• Meeting Approvals: Review, confirm, and log all internal and client meeting approvals with accuracy.
• Calendar Management: Add approved prospects and confirmed meetings to the correct client or internal calendars, ensuring all invites are up to date.
• Prospect Registration: Accurately input qualified leads into event registration systems following defined procedures.
• Reporting: Create and maintain reports on campaign performance, attendance, and outcomes for both internal leadership and clients.
• Communication Support: Coordinate updates between account managers, project teams, and client contacts to ensure smooth operations.
• CRM Updates: Use tools such as HubSpot, Gmail, and Outlook to manage records, track activities, and maintain accurate documentation

Requirements

• 1+ years in a Virtual Assistant role
• Excellent English communication skills (both written and verbal).
• Strong attention to detail and commitment to accuracy in repetitive administrative work.
• Reliable internet connection, computer, and power backup for consistent performance.
• Ability to follow structured workflows and complete assigned tasks independently with minimal supervision
• Familiarity with HubSpot, Outlook, Gmail, and Google Workspace.
• Excellent organizational skills and time management.
• Comfortable working in a fast-paced, high-volume business environment
