Job Description:
We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of our projects. This role is 70% remote and 30% on-site and requires someone currently based in Dubai, available to occasionally assist in person with deliveries, permits, or meetings when needed.
The ideal candidate is detail-oriented, reliable, and capable of working both independently and as part of a team. You’ll be involved in organizing project files, managing admin tasks, communicating with guests and suppliers, and supporting purchases and logistics.
Key Responsibilities:
• Project & Admin Coordination:
• Maintain organized files, invoices, and documents (digital and physical).
• Keep Excel and Google Sheets updated with budgets, purchases, and timelines.
• Assist in scheduling meetings, deliveries, and contractor visits.
• Help coordinate permit applications and follow-ups with relevant authorities.
• Purchases & Logistics:
• Support online and in-person purchases for design projects.
• Track and confirm deliveries.
• Occasionally visit sites for document submission or to receive deliveries (as required).
• Guest & Supplier Communication:
• Help manage guest communication for holiday homes (check-ins, inquiries, basic support).
• Liaise with suppliers and contractors for quotations, orders, and updates.
• Travel & Scheduling Support:
• Assist with booking flights, travel arrangements, and calendar coordination.
Requirements:
• Must currently reside in Dubai with availability for occasional in-person work.
• Previous experience in admin, project coordination, or executive assistance.
• Proficiency with Microsoft Excel and Google Workspace tools.
• Excellent organizational and time management skills.
• Strong communication skills in English (written and verbal).
• Ability to work independently, with strong follow-up skills.
• Familiarity with the interior design or holiday home industry is a plus.
• UAE driving license is a bonus but not mandatory.
