Responsible for providing effective and efficient services in all aspects of administration, including, but not limited to, preparing reports, presentations, emails, writing minutes, and maintaining records in secured structured folders on the shared server.
Responsibilities
– Ensure all invoices and payments are correct, properly recorded and reported in due course;
– Prepare and issue invoices for clients, follow up on payments, and confirm receipt of payments;
– Maintain copies of agreement and contract ;
– Summarize staff leave entitlement and leave availed when needed;
– Ensure conference rooms and other meeting spaces are prepared properly before use;
– Ensure that all supporting documents are kept in designated folders, both soft and hard copies;
– Track and replace office supplies as necessary; and
– Act on any other administrative task(s), as directed by the line manager.
Qualifications
Education:
Bachelor’s degree in Business Administration, Office Management, or a related field.
Experience:
Minimum of 5 years of experience in administrative roles.
Skills:
Excellent proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
Exceptional written and verbal communication skills.
Attention to detail and accuracy in data recording and reporting.
Proficiency in using and managing shared servers and digital file systems.
Ability to manage and prioritize multiple tasks and deadlines.
Customer service skills for dealing with clients and vendors.
Adaptability to handle various administrative duties.
