The Administrative Assistant is responsible for answering incoming calls, directing calls to appropriate personnel, mail distribution and performing the administrative functions for the office. The post will also manage the office supplies and facilities and ensure smooth running of the office. Big part of the administrative responsibilities will include entering leads (student registrations), leads allocation to the counselling teams and creating and analyzing reports in our CRM system.
Flexibility in this role is important as we need initiative so that we can continue winning and growing. There will be occasions where you may be required to work weekends or extra hours dependent on business needs.
Responsibilities:
Ø Answer, screen and forward incoming phone calls
Ø Ensure reception and office area are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Ø Order front office supplies and keep inventory of stock
Ø Update calendars and schedule meetings
Ø Execute the calendar of meetings and seminars as set by General Manager
Ø Arrange travel and accommodations, and prepare vouchers
Ø Record students visit to the office and updating company’s CRM System
Ø Enter student registrations to the CRM system, maintaining the system
Ø Allocating leads to the counselling teams across all locations
Ø Dealing with phone and email queries
Ø Support execution of GSUK Fairs/Seminars/Info-Sessions
Ø Manage School Community – Creating accounts, Obtain Acknowledgement from school counsellors, getting them to use the platform, monitor the account logins time, link all applicants to the accounts on CRM, monitor the leads registered thorough the platform and follow up, update the newsletter according to the event running, and upload all students offers through the right procedure so that the school counsellors can see them on the platform – report to the General Manager.
Ø Screen calls, enquiries and requests, and deal with them when appropriate
Ø Assist General Manager in contacting and drive interest/applications
Ø Supporting the General Manager with student conversion, across all markets, through the development and delivery of a range of new and existing initiatives
Ø Produce documents, briefing papers, reports and presentations
Ø Organize meetings and prepare for those meetings, preparing agendas, pre-meeting briefings and meeting papers
Ø Manage the office supplies and facilities and ensure smooth running of the office, order the supplies, check the stock, ensure the office is tidy and clean
Any other duties as may reasonably be required by the General Manager
Skills:
– Knowledge of office management systems and procedures
– Good knowledge of English
– Experience working in Europe
– Outstanding organizational and time management skills
– IT literacy, including MS Office, the internet and social media technologies
– Excellent detail oriented
– Excellent organizational skills and multitasking abilities

Qualifications, Knowledge:
– Bachelor’s Degree or above from an accredited institution of higher education
– Proven track record of relevant work experience; administrative support experience is beneficial
– Knowledge of legal policies on health and safety in Lebanon
– Knowledge of Lebanese and UK Higher Education Systems
