Junior Personal Assistant / Admin Assistant
We are looking for a junior PA / Admin Assistant to provide administrative support our CEO’s. To do this role properly you should have a detailed understanding of the full Microsoft Office and Google Suite, be extremely fast at solving problems and have experience as an administration assistant in the past.
Junior Personal Assistant / Admin Assistant Responsibilities:
Organize and schedule appointments and meetings
Produce and distribute correspondence via email or internal communication portal
Order office and pantry supplies
Book travel arrangements when necessary
Submit and reconcile expense reports
Submit medical claims to insurance provider
Provide general support to office staff
Research and create presentations for meetings
Generate reports on various subjects
Ensure all office repairs and maintenance issues are dealt with timeously
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Attend to any immigration issues where needed
Organize travel arrangements when requested – flights, hotels, car
Book conference rooms for management meetings; catering where needed
Cover the reception desk when required
Maintain computer and manual filing systems
Handle sensitive information in a confidential manner
Take accurate minutes of meetings
Coordinate office procedures
Reply to email, telephone, or face to face inquiries
Manage staff appointments with management
Photocopy and print out documents on behalf of other colleagues
Confirm restaurant reservations for senior staff where needed
Junior Personal Assistant / Admin Assistant Requirements:
Proven relevant administrative support experience.
In-depth understanding of entire MS Office and Google Suite
High school diploma.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
