Your Role
The Administrator deals with the more complex administrative needs of the business area, and will provide administrative support to a total of 5 Senior Executives; 3 Group Heads and 2 Senior Managers, all of whom report into the Sub Market Head based out of Singapore.
The tasks required of the Administrator are often bespoke due to the tasks being linked to an isolated need in order to further a business initiative (e.g, discovery of and gathering relevant material from disparate sources, collating salient information and, with business direction, organising it into a cohesive presentation format.)
The Administrator will be able to handle escalations from Administrative Assistants in order to share knowledge and remedy complicated administrative matters. Administrators will be in contact with other Administration Profession members and areas of the Bank that support their Business area.
Your Key Responsibilities
H andle escalations from Administrative Assistants in order to share knowledge and remedy complicated administrative matters.
Calendar Management– coordination of all internal and external meetings, VCs and calls.
Coordinate all business travel arrangements and itineraries. Including, but not limited to visa requirements, transportation, hotel, flight bookings, DB Corporate Security for travel to High / Extreme Risk Countries etc. Ensuring all approval has been submitted in a timely manner as per the approval matrix.
Responsible for timely action on Executives requests and resolution of concerns.
Provide calendar management and administrative support for visiting Senior Executives.
Preparation and submission of monthly departmental invoices. As and when required, action the vendor onboarding process. Timely submission of monthly expense claims via Concur.
Responsible for the entry and submission of client entertainment and gifts on the company compliance system (concur) – obtaining necessary pre-approvals.
Assisting in the coordination and execution of yearly client events
Sourcing, management and execution of Client festive / seasonal gifts (Diwali / EID etc).
Handling the on and off-boarding procedures for new / departing employees.
Co-ordinate trainings held locally and by the Singapore or Geneva Booking Centers.
Administrative support for team; taking minutes of meetings, management of internal mailing lists, team communication circulars, etc.
Adhoc project based tasks.
Manage stationery & IT inventory for the Business.
Your Skills and Qualifications
Graduate degree at a minimum
At least 2 years experience in an Office Management, Administrator role
Service and solution oriented, ability to work in a high paced environment under pressure
Should be assertive, organized and flexible
Strong organization and prioritization skills
Meticulous, methodical and concise, with a strong attention to detail
Strong inter-personal skills and excellent communication skills with a positive approach
