KEY ACCOUNTABILITIES & ACTIVITIES
Facilities Management
Direct and coordinate facility management operations at the Company , ensuring a secure, efficient, and compliant environment, which encompasses overseeing building maintenance, safety protocols, space planning, utilities management, environmental compliance, contract oversight, emergency preparedness.
Manage the overall facility management operations to ensure a safe and comfortable environment for the Company employees and visitors and compliance with all health, safety, and environmental standards.
Manage the facilities budget, ensuring that expenses are within budgetary constraints and that resources are allocated efficiently and effectively to support the Company strategic objectives and operational needs.
Collaborate with stakeholders to identify opportunities for space optimization, generating cost savings and increased efficiency in the handling, storage, and distribution of food.
Oversee and manage maintenance of company-owned facilities, including headquarter and the other branches locations, ensuring that all infrastructure, equipment, and systems are in optimal working condition.
Establish preventive maintenance programs to prolong the life of buildings, machinery, and assets and coordinate with external vendors and contractors for specialized maintenance services and repairs.
Office Administration
Oversee the administrative staff, ensuring that they are providing excellent customer service to internal and external stakeholders, and that administrative tasks are completed accurately and in a timely manner.
Manage relationships with vendors and contractors who provide services related to administrative operations, ensuring that they are meeting the Company needs and that contracts are managed effectively.
Supervise the office supply budget, inventory, and distribution to ensure efficient and effective allocation.
Develop and implement a standardized process for office moves and relocations, producing increased productivity and reduced downtime.
Oversee the Company document control systems and procedures, ensuring the proper handling of the corporate sensitive legal and confidential documentation, and safeguarding document safety and confidentiality in compliance with the Company document control standards.
Manage postal service vendors to ensure reliability, cost-effectiveness, and adherence to service standards.
Health, Safety, and Security
Oversee the CCTV camera system, access point control, office security system implementation, and ensure compliance with the Company safety standards and policies.
Oversee the regular security audits to assess the effectiveness of implemented security measures, and review and address any findings from audits promptly.
Hospitality Services
Oversee reception responsibilities, hospitality, and event management to create a welcoming and professional atmosphere at the Company.
Strategically plan and impeccably execute corporate events, upholding the highest standards for an exceptional experience.

Continuous Improvement
Contribute to the identification of opportunities for continuous improvement of Facility Management and Admin systems, processes, and practices considering ‘international best practice’, improvement of financial processes, cost optimization, and efficiency improvement.
